Payroll

Full Time Classified Staff


Payday -

This is the last working day in the month. Exception: employees do not receive a check in December; it is paid on the first working day in January each year.

    • Pay Period
        • Runs from the 1st of the month through the last day of the month, and you are paid the last working day of the month Ex: 1/1/19-1/31/19; paid 1/31/19
    • Months
        • Based upon the position requirements as defined on the job description, in which you applied for and were hired.
    • Overtime
        • Pay period is the same, the 1st for the month through the last day of the month, paid the following month. Ex: 1/1/19 - 1/31/19; paid 2/28/19
    • Pay docks or Adjustments
        • Appear on the first payroll following notification
    • Pay Codes
        • RC – Regular Classified
        • HRL2 - Additional Classified
        • DED – Deduction
        • LONG – Longevity
        • VACP – Vacation Payout
        • OT – Overtime
        • DT – Double time
    • Tax Codes
        • MED (1/3) – Medicare
        • OAS (1/3) – Social Security
        • FIT (M/S) – Federal Taxes (M-Married/S-Single)
        • SIT (M/S/H) – State Taxes (M-Married/S-Single/H-Head of Household)
        • SUI – Unemployment Insurance  - employer paid

Direct Deposit –

All employees are eligible for direct deposit; an election of direct deposit can be made or cancelled at any time. Please note it can take up to 3 pay cycles for your direct deposit to be activated. You will receive paychecks in the mail until activation is complete. Direct Deposit Form To cancel please contact a member of the payroll staff.

Personal Payroll Changes –

    • W4 and DE 4 forms:
        • Employees may change withholdings at any time. Changes are due to Payroll by the 10th of each month to be effective for that month's payroll.
    • Tax Sheltered Annuities:
        • Establishing: Please use our form to help identify the companies we allow deductions to be made to via payroll deduction. Once you have selected a company to contribute to, please make sure you have established an account with that entity, prior to turning in our TSA form. No established account will cause the money to be returned.
        • Changes: Changes can be made at any time. Changes are due to Payroll by the 10th of each month to be effective for that month's payroll.  
    • Address Changes: 
        • These are made through HR and that changes your payroll information

Retirement –

All employees have a retirement deduction calculated on your monthly gross pay and then deducted for each month of pay for full time service.

CalPERS: This is a defined benefit program where contributions are employee and employer funded.  You are vested after 5 years of full time service. The benefits are pre-tax and Social Security is assessed and deducted from each paycheck you receive. There are 2 types of membership:

        1. Classic Members: any person who became a member or was an established non-member before January 1, 2013. Your employee portion this fiscal year is 7% and the current employer portion is 15.531%. This is a variable rate that can change at the beginning of each fiscal year.
        2. PEPRA Members: any person who became a member or was an established non-member on or after January 1, 2013. Your employee portion this fiscal year is 6.5% and the current employer portion is 15.531%. This is a variable rate that can change at the beginning of each fiscal year.

CalSTRS: This is a defined benefit program where contributions are employee and employer funded.  You are vested after 5 years of full time service. The benefits are pre-tax and you do not pay into Social Security. There are 2 types of membership:

        1. Classic Members: any person who became a member or was an established non-member before January 1, 2013. Your employee portion this fiscal year is 10.25% and the current employer portion is 14.430%. This is a variable rate that can change at the beginning of each fiscal year.
        2. New Members: any person who became a member or was an established non-member on or after January 1, 2013. Your employee portion this fiscal year is 9.205% and the current employer portion is 14.430%. This is a variable rate that can change at the beginning of each fiscal year.

    • Section 125 Plans (FSA):
        • Any full-time employee can elect to have a dollar amount deducted from their paycheck, before all taxes, to help offset the expenses of health care deductibles, copayments, etc. – up to $2,550.00 a year. As well as, to help offset the expenses of Child Care up to $5,000.00 a year. Open enrollment into the program is conducted typically at the beginning of October each year. There deductions run December thru November for each Full-time check that you receive.
        • New hired employees have 30 days to enroll for the current plan year.

Union Dues –

If you are a member of the Classified School Employees Association (CSEA), YCCD Chapter 420. The deduction is taken 10 months a year August-May.
