Payroll

Community Education


Payday -

This is the 10th of the month, unless the 10th falls on a day of closure. For example: when the 10th of the month falls on a weekend, the Friday before that weekend is the payday or if the 10th falls on a holiday or on summer Friday of closure payday will be the day before.

    • Pay Period
        • Runs from the 16th of one month thru the 15th of the next and you are paid the following 10th. Ex: period 11/16/18-12/15/18, paid 1/10/19
    • Months
        • Based on class start and end dates.
    • Pay Claims
        • Submission of claims is required. Please adhere to the pay periods as noted above when completing. If your dates of service cross pay periods, make sure to complete a claim for each period. Turn into your division/department for processing no later than the 15th of the month. They are due to payroll on the 18th.
    • Pay Docks or Adjustments
        • Appear on the first payroll following notification
    • Pay Codes
        • FCOS – Community Service
        • FCO1 – Community Service – Flat tax
    • Tax Codes
        • MED (0/1/2/3) – Medicare
        • OAS (0/1/2/3) – Social Security
        • FIT (M/S) – Federal Taxes (M-Married/S-Single)
        • SIT (M/S/H) – State Taxes (M-Married/S-Single/H-Head of Household)
        • SUI – Unemployment Insurance - employer paid

Direct Deposit –

All employees are eligible for direct deposit; an election of direct deposit can be made or cancelled at any time. Please note it can take up to 3 pay cycles for your direct deposit to be activated. You will receive paychecks in the mail until activation is complete. Direct Deposit Form To cancel please contact a member of the payroll staff.

Personal Payroll Changes –

    • W4 and DE 4 forms:
        • Employees may change withholdings at any time. Changes are due to Payroll by the 18th of each month to be effective for that month's payroll.  Forms

        • These are made through HR and that changes your payroll information

Retirement –

All employees have a retirement deduction calculated on your monthly gross pay and then deducted for each month of pay. Unless you were a STRS or PERS member when hired you will automatically be placed in the APPLE program.

APPLE: This is established as an alternative to Social Security. The plan is a Profit Sharing Plan under 401(a) and has an employee contribution of 7.5%. The plan is for District employees who are not covered under the Public Employees' Retirement System (PERS) or the State Teachers' Retirement System (STRS).

CalSTRS: This is a defined benefit program where contributions are employee and employer funded.  You are vested after 5 years of full time service. The benefits are pre-tax and you do not pay into Social Security. There are 2 types of membership:

        1. Classic Members: any person who became a member or was an established non-member before January 1, 2013. Your employee portion this fiscal year is 10.25% and the current employer portion is 14.430%. This is a variable rate that can change at the beginning of each fiscal year.
        2. New Members: any person who became a member or was an established non-member on or after January 1, 2013. Your employee portion this fiscal year is 9.205% and the current employer portion is 14.430%. This is a variable rate that can change at the beginning of each fiscal year.

CalPERS: This is a defined benefit program where contributions are employee and employer funded.  You are vested after 5 years of full time service. The benefits are pre-tax and Social Security is assessed and deducted from each paycheck you receive. There are 2 types of membership:

        1. Classic Members: any person who became a member or was an established non-member before January 1, 2013. Your employee portion this fiscal year is 7% and the current employer portion is 15.531%. This is a variable rate that can change at the beginning of each fiscal year.
        2. PEPRA Members: any person who became a member or was an established non-member on or after January 1, 2013. Your employee portion this fiscal year is 6.5% and the current employer portion is 15.531%. This is a variable rate that can change at the beginning of each fiscal year.

Benefits –

Unfortunately community education employees do not qualify for benefits, at this time.
